Sounds like you're doing just fine. I'm an event coordinator by trade, and I know I've done a good job if I don't have any pressing tasks to do on the day, that I have Coordinated it all and there is a person responsible for all necessary tasks... makes it easier if I am just choosing contractors but you get the idea.

Hall decorations - you have plenty in storage and I'm sure if you had Adam there he'd put whatever you want up wherever you want, plenty of banners and the hangings in red and green from Yule

A&S competition, skip the comp, ask a few snazzy people to display some a&s - maybe even see if you can get some mannequins to display whole outfits on - it's a newcomers, you're trying to show them about the SCA, I don't think a competition is necessary, but since you've advertised it, don't be stressed if it is not flooded with entries. I would ask either Helen (A&S officer) or Bean as she seems pretty keen at the moment.

Clean up crew is almost everyone who attends - good to have a couple of people lined up but not too much of a big deal i don't think.

I won't be going, sorry. It's not just the SCA, there's actually something else more important to me on in Bathurst - a bit like a reunion, so I will go to that and enjoy the company of some old friends.

You'll be fine, don't stress. You have very capable people organising the food and that is the main uphill battle - everything else will sort itself. Your main problem is you're doubting yourself more than you should, you've been to enough events to know what you want - as Finn said, if you don't get it all perfect this time, there's plenty more opportunities to run bigger and better events inthe future.

It will all be fine. You're style of stewarding here is reminiscent of the Midwinter and Guilds Day that I ran. I basically subcontracted out so that all I had to do was turn up on the day. And it worked like a charm!

Remember though: This is your first event. And if you don't run screaming from the building, there will be many more, so you have got plenty of time to get your thang down.

Make sure you have extra toilet paper and don't forget to breathe!
